Privacy policy
Last updated: 20 October 2026
This policy explains how we collect and use your personal information when you sign up for our free guide or emails, comment on or message our accounts, or contact us. We wrote it in plain language. If anything is unclear, email us.
1. Who we are
Cali Samurai is run by B Danyi ("we", "us", "our"), based in the UK. We are the "controller" of your personal information.
Contact for anything privacy-related: cali.samurai@outlook.com
Takeshi Moriyama ("Sensei") is a fictional, AI-generated character. We create and run him. Messages and emails "from" Sensei are written by us.
2. What we collect and where it comes from
We collect information directly from you:
- Email address.
- Consent records: the date you signed up, the form and page you used, and your click on our confirmation email. We keep dated copies of the wording you agreed to.
- Email activity: whether you open our emails, which links you click, and the rough location and device type this shows. This uses tracking pixels and tracked links (see section 9).
- Messages you send us, for example a comment or DM on Instagram, TikTok or YouTube, or an email. This includes your username or email address.
- Instagram auto-reply: if you comment a keyword (like TRAIN) on one of our posts, our auto-reply tool sends you one DM with the link you asked for. It keeps your username, user ID, the comment ID and the post ID, so you don't get the same DM twice. It keeps the comment text only until the DM is sent.
- Technical data when you visit our website: your IP address, browser and device type, and the pages you request. Cloudflare, our website host, processes this to deliver and protect the site. We don't see or store these logs.
We don't need payment details or health information, so please keep health details out of your messages. If you do mention your health (for example how a morning felt), we use it only to reply to you, we delete our copy within 30 days, and we won't publish or share it without asking you first. Instagram and other platforms keep their own copies of messages.
3. Why we use your information, and our legal basis
| What we do | Legal basis (UK GDPR / EU GDPR) |
|---|---|
| Send you the free guide you asked for | Your consent (Article 6(1)(a)) |
| Send you our emails: training tips, new content and occasional offers, which may include partners' offers (we never give partners your email address) | Your consent (Article 6(1)(a) and the Privacy and Electronic Communications Regulations) |
| Track email opens and clicks, to see which emails help, group subscribers and stop emailing people who never open them | Your consent, given when you sign up |
| Send you the DM you asked for by commenting a keyword | Our legitimate interests in answering your request |
| Reply to your comments and messages | Our legitimate interests in running our channels and answering people |
| Run our website and keep it secure | Our legitimate interests in a working, secure website |
| Keep consent records and a "do not email" record after you unsubscribe | Legal obligation and our legitimate interests in proving consent and never emailing you again |
| Protect our rights and meet legal requirements | Legal obligation and legitimate interests |
Our legitimate interests are running our channels, answering people who contact us, keeping our email list accurate, protecting ourselves against claims, and complying with the law. We have checked that these don't override your rights.
Do you have to give us your information? No, it's voluntary. But we can't send you the guide or our emails without your email address.
Automated decisions: we don't make decisions about you by automated means that have legal or similarly significant effects. We may group subscribers (for example by which guide you downloaded, or whether you open our emails) so we can send more relevant emails.
4. Who we share it with
We never sell or rent your personal information, and we don't share it with advertisers or data brokers.
We use these service providers. They act on our instructions under data processing terms:
- Kit (kit.com), our email service. It receives the sign-up form, stores our email list and sends our emails.
- Cloudflare (cloudflare.com). It hosts our website and our Instagram auto-reply tool, and keeps short-term technical logs.
They may also use limited data for their own security, fraud prevention and service improvement, as their own privacy policies explain.
Some messages also pass through other companies, under their own privacy policies:
- Google (Gmail) and Microsoft (Outlook.com), our email inboxes, if you reply to our emails or write to us.
- Instagram (Meta), TikTok and YouTube (Google), if you comment on or message our accounts there.
We may also share information if the law requires it, or to protect our legal rights, for example with professional advisers, insurers or authorities.
5. International transfers
Kit and Cloudflare are based in the United States, so your information is stored there. Their data processing terms include the EU Standard Contractual Clauses and the UK Addendum, which protect these transfers under UK and EU law. Google, Microsoft, Meta and TikTok may also process data outside the UK and EU under their own terms. Email us if you'd like a copy of these safeguards.
6. How long we keep it
- Subscriber details: while you're subscribed. We may remove subscribers who haven't opened or clicked an email for 24 months.
- Sign-ups you don't confirm: if you don't click the link in our confirmation email, we delete your email address within 3 months.
- After you unsubscribe: our email service keeps your record marked "unsubscribed", with its sign-up details and past email activity, so we never email you again. If you ask, we'll delete it and keep only your email address and the date on our own "do not email" list.
- Consent records: for as long as we hold your details, plus up to 6 years, so we can show we had your permission if ever asked.
- Instagram auto-reply: the comment text is deleted once the DM is sent, and within 8 days at most. Comment IDs are deleted after 8 days. A note that you already got the DM for a post is kept while the tool runs, so you aren't messaged twice.
- Messages: up to 12 months after our last exchange, unless we need them longer for a legal reason.
7. Your rights
You have the right to:
- access your information
- correct it
- have it deleted
- restrict how we use it
- object to how we use it. You can always object to direct marketing, and we'll stop.
- take it with you (data portability)
- withdraw your consent at any time. This doesn't affect anything we did before you withdrew it.
To use any of these rights, email cali.samurai@outlook.com. It's free. We may ask you to confirm who you are. We'll reply within one month of getting your request (or your ID, if we asked for it). If a request is complex, we may need up to two more months, and we'll tell you why.
Complaints. If you're unhappy with how we use your information, email cali.samurai@outlook.com with "Complaint" in the subject line. We'll confirm we got it within 30 days, look into it, and tell you the outcome without undue delay.
You can also complain to a data protection authority. In the UK that's the Information Commission (ico.org.uk). In the EU it's the authority in your country.
8. Unsubscribing
Every email has an unsubscribe link, which works straight away. You can also reply to any email or write to cali.samurai@outlook.com asking to be removed. We'll remove you within 5 business days.
9. Cookies and email tracking
- Our website: no cookies, no analytics and no advertising trackers of our own. Our host, Cloudflare, may ask your browser to store a small network-error setting so it can report connection problems; it holds no identifier for you. When you submit the sign-up form, your browser sends your email address straight to Kit, whose pages set their own cookies. See Kit's privacy and cookie information.
- Emails: our emails contain a tiny tracking image (pixel) and tracked links. They tell us if you opened an email and which links you clicked. You agree to this when you sign up. Our email service can't switch tracking off for just one person. You can block the pixel by turning off automatic image loading in your email app, but link clicks are still recorded. To stop all tracking, unsubscribe.
10. Age
Our guide, emails and content are for adults aged 18 and over. By signing up you confirm you are 18 or older. We don't knowingly collect information from anyone under 18. If we learn that we have, we'll delete it. Parents or guardians who believe a child has signed up can email cali.samurai@outlook.com.
11. Keeping your information safe
We take reasonable steps to protect your information and use reputable service providers. No method of sending or storing data is 100% secure. If a breach affects your information, we'll report it to the Information Commission when the law requires, and we'll tell you when the law requires.
12. If you live outside the UK
We give everyone the rights in this policy, wherever they live.
- EU/EEA: you have the rights described above under the EU GDPR. We haven't appointed a representative in the EU, so please contact us directly at cali.samurai@outlook.com.
- United States: we don't sell your personal information or share it for targeted advertising. Our website has no advertising or analytics trackers, and no one else collects information through it about your browsing on other sites. So it works the same whether or not your browser sends a "Do Not Track" signal. We don't knowingly collect information from children under 13.
- Requests from anywhere: email cali.samurai@outlook.com. If we turn a request down, you can ask us to look at it again by replying to our answer.
13. Changes to this policy
We may update this policy. The newest version will always be on this page with the date at the top. If a change affects how we use information we already hold, we'll tell subscribers when the law requires it.
